When you register for the Summer School through this site, we capture information about you for the purposes of your registration and for any other person you are registering. This information includes:
The company/organisation you work for
Your email addresses
Your payment details
If you are a user of the Xing social network service, logging in to that service during your registration will pre-populate data from your profile into our event registration.
It's important you understand why we are processing your data, both in terms of the purpose for it and the legal basis we are relying on.
Our purposes are:
Production of name badges and similar event logistics
Ensuring we have the right amount of catering booked
Marketing Summer School and other future similar events.
Attendees at Summer School are added to Ask Direct’s mailing list. If you don’t want to be added to this list, just email email@example.com with the phrase “Summer School Only” in the subject line and we will remove you from our other marketing lists.
Consent (if you join our mailing list)
Execution of a contract entered in to by you (you've booked some tickets)
Legitimate interests of the Data Controller (we need to plan catering and manage the numbers at the event amongst other things, and we have an interest in marketing other related Ask Direct services to you, subject to you not opting out).
We obtain data from Xing if you are already a registered user of that platform and login to it when registering for the event.
Other than that, we don't share your data with any third party, except for suppliers or partners working with us to put this event together such as designers (to make our badges), or Trinity College (for access to Wifi and for health and safety purposes as needed).
Data may be processed using tools or technologies that are hosted outside the European Economic Area (EEA). Where this happens, we will apply appropriate safeguards such as using suppliers who are based in countries recognised by the European Commission as having adequate levels of protection for personal data, or suppliers who have adopted Model Contract Clauses or Privacy Shield as a basis for their processing.
In general, we will retain data of people who have booked tickets for six years after the tax year in which the booking took place. We need to for financial audit and tax purposes.
We will keep your name and email address, and whether you have booked or not booked, for three years so that we will recognise you if you follow up with us after the event and so we can inform you of future events. We have opted for three years in the event we don’t run a Summer School in any given year that we can keep in contact with you to update you on future events. If you are on our mailing list you will receive at least one email per year about Summer School (whether it is running or not in that year).
Finally, in the event of anyone attending the Summer School suffering an accident, we will keep data relating to the accident report, their registration, and contact details of any attendee who might be a witness, for up to seven years for the purposes of dealing with any claims that might arise.
You have a number of rights in relation to your data and our processing of it. These include:
You can ask for us to provide you with a copy of your data
You can ask for any errors in your data to be corrected
You can ask us not to use your data for any purpose (but we may have an over-riding reason to continue processing your data, e.g. compliance with a legal obligation)
You also have the right to file a complaint with the Data Protection Commissioner (firstname.lastname@example.org) in the event that you are unhappy with our handling of your data.
